These Terms and Conditions apply to bookings made with Lunar Grove Studio for sound baths, meditation sessions, private experiences, group sessions, workplace wellbeing events, retreats and related services under Lunar Grove Sound.

Please read them before making a booking. By completing a booking, you agree to these terms.

These terms should be reviewed by a qualified UK legal professional before publication, particularly once Lunar Grove Studio's final cancellation policy, business details and insurance requirements have been confirmed.

1. About Lunar Grove Studio

Lunar Grove Studio provides sound bath and relaxation experiences as Lunar Grove Sound in Taunton, Bridgwater and surrounding areas of Somerset.

2. Making a booking

Bookings may be made through the Lunar Grove Studio website or directly with Lunar Grove Studio.

Your booking is confirmed when:

the required payment has been received; and
you receive a booking confirmation by email or another agreed method.

Please check your confirmation carefully and contact Lunar Grove Studio promptly if any details are incorrect.

Bookings are subject to availability. Lunar Grove Studio reserves the right to refuse or cancel a booking where there is a reasonable health, safety or safeguarding concern.

3. Prices and payment

All prices will be shown at the time of booking.

Payment must be made in full unless a deposit or alternative payment arrangement has been agreed in writing.

Any additional booking fees charged by a third-party platform will be shown before payment is completed.

Lunar Grove Studio may change its prices at any time, but this will not affect bookings that have already been confirmed.

4. Cancelling or transferring a group session

Places at scheduled sound baths are limited. Please provide as much notice as possible if you cannot attend.

The following cancellation policy applies unless different terms are clearly stated on the relevant event page:

More than 48 hours before the session: You may request a transfer to another available session. Refunds may not be available unless Lunar Grove Studio can refill your place.

Less than 24 hours before the session or non-attendance: The booking will be non-refundable and non-transferable.

Any retained payment or cancellation charge will be reasonable and proportionate to the losses caused by the cancellation. UK guidance states that cancellation charges and retained deposits should reflect the business’s genuine losses and the steps it can take to reduce them, such as reselling the place.

You may give your place to another suitable attendee with prior notice, provided they meet any age, health or participation requirements.

5. Online booking and cooling-off rights

A booking for a sound bath held on a specific date may be treated as a leisure activity for a specified date or period. Such bookings are generally exempt from the usual statutory 14-day cooling-off period for online purchases.

Lunar Grove Studio's stated cancellation and transfer policy will therefore normally apply as soon as the booking is confirmed.

Nothing in these terms affects any statutory rights that apply to your particular booking.

6. Private sessions and group bookings

Private sessions, workplace events, retreats and bespoke group bookings may require a deposit. The booking date will not be secured until the agreed deposit has been received.

The following terms are suggested:

A deposit of 20% is payable when booking.
The remaining balance is due 7 days before the session.
Cancellations made more than 14 days before the event may receive a refund, less any reasonable costs already incurred.
Cancellations made within 14 days may result in part or all of the payment being retained where Lunar Grove Studio is unable to refill the date or recover its costs.

Any venue hire, travel or other non-refundable expenses agreed in advance may be deducted from a refund where those costs have already been incurred.

Final participant numbers and relevant access requirements must be provided by the agreed deadline.

7. Cancellation by Lunar Grove Studio

Lunar Grove Studio may need to cancel or reschedule a session because of illness, venue problems, unsafe conditions, insufficient attendance or another event outside its reasonable control.

Where Lunar Grove Studio cancels a session, you will be offered:

a transfer to another available session;
a credit for future use; or
a full refund of the amount paid for the cancelled session.

Lunar Grove Studio will not normally be responsible for separate expenses such as travel, accommodation, childcare or loss of earnings, unless the law requires otherwise.

8. Changes to a session

Occasionally, Lunar Grove Studio may need to make reasonable changes to the venue, timings, practitioner, instruments or structure of a session.

Participants will be informed of any significant change as soon as reasonably possible. Where a significant change materially affects the experience, participants will be given a reasonable option to transfer or cancel.

9. Health and suitability

Sound baths are complementary wellbeing experiences intended to support relaxation. They are not medical treatment, psychotherapy or a substitute for advice, diagnosis or treatment from a qualified healthcare professional.

You are responsible for deciding whether a session is suitable for you.

Please contact Lunar Grove Studio before booking if you:

are pregnant;
have epilepsy or a condition affected by sound;
have tinnitus, hyperacusis or significant sound sensitivity;
use a pacemaker, cochlear implant or another implanted medical device;
have a serious heart condition;
are recovering from recent surgery or injury;
have a significant physical or mental health condition;
have mobility, sensory or access requirements; or
have any concern about whether you can participate safely.

You may be advised to obtain guidance from your GP or another qualified healthcare professional before attending.

Lunar Grove Studio does not guarantee any particular physical, emotional or therapeutic result.

10. During the session

Please follow reasonable instructions given by the practitioner or venue team.

You are encouraged to listen to your body throughout the experience. You may change position, sit up or leave the room quietly if necessary.

You must not attend while under the influence of alcohol or recreational drugs.

Lunar Grove Studio may ask someone to leave where their behaviour is unsafe, disruptive, abusive or significantly affects the comfort of others. A refund will not normally be provided in these circumstances.

11. Personal belongings

Please take reasonable care of your personal belongings.

Lunar Grove Studio is not responsible for loss, theft or damage to personal property unless caused by its negligence or where responsibility cannot legally be excluded.

Avoid bringing valuable items unless necessary.

12. Arrival and late attendance

Please arrive at the time stated in your booking information, usually around 10 to 15 minutes before the session begins.

Late entry may not be possible once the sound bath has started, as this could disturb other participants.

Where entry cannot be permitted because you arrived late, the booking will normally be treated as a missed session and no refund will be due.

13. Accessibility

Lunar Grove Studio aims to make its sessions as welcoming and accessible as reasonably possible.

Please contact Lunar Grove Studio before booking to discuss mobility needs, seating, hearing or sensory requirements, pregnancy, assistance animals or any other adjustments.

Accessibility varies between venues, so arrangements cannot be guaranteed unless they have been confirmed in advance.

14. Children and young people

When required, the minimum age for public sessions will be stated on the individual event listing.

Anyone under the age of 18 must have permission from a parent or legal guardian. Depending on the event, they may also need to be accompanied by a responsible adult.

The accompanying adult remains responsible for the child or young person throughout the session.

15. Photography and recording

Photography, video recording and audio recording are not permitted during a session unless Lunar Grove Studio has given prior permission.

Lunar Grove Studio will not photograph or film participants for marketing purposes without appropriate notice and consent.

Where event photography is planned, participants will be told in advance and given a reasonable opportunity not to be included.

16. Intellectual property

All website content, written materials, guided meditations, branding, photographs and original session materials belonging to Lunar Grove Studio may not be copied, recorded, reproduced, distributed or used commercially without written permission.

17. Liability and consumer rights

Lunar Grove Studio will provide its services with reasonable care and skill, as required by the Consumer Rights Act 2015.

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or a breach of your statutory consumer rights. UK consumer guidance specifically warns businesses not to exclude responsibility for death, personal injury, poor service or failure to perform contractual obligations.

Participants remain responsible for:

providing accurate and relevant information;
following reasonable safety guidance;
using mats, blankets and other equipment appropriately; and
stopping or modifying their participation if they feel unwell or uncomfortable.

18. Circumstances outside reasonable control

Lunar Grove Studio will not be responsible for a delay or failure caused by circumstances genuinely outside its reasonable control. These may include severe weather, transport disruption, utility failure, venue closure, government restrictions or an emergency.

Lunar Grove Studio will take reasonable steps to minimise disruption and will offer a transfer, credit or refund where appropriate.

19. Personal information

Personal information will be handled in accordance with Lunar Grove Studio Privacy Policy.

This may include information needed to manage bookings, payments, enquiries, accessibility requirements and health or safety concerns.

A separate privacy notice should explain what information is collected, why it is used, how long it is kept, who it may be shared with and the customer’s data rights. The Information Commissioner’s Office provides a privacy notice generator specifically for small businesses and sole traders.

20. Complaints

Lunar Grove Studio hopes to resolve any concern warmly and fairly.

Lunar Grove Sound will acknowledge the complaint and aim to provide a response within 14 days.

21. Changes to these terms

These Terms and Conditions may be updated when services, booking processes or legal requirements change.

The terms in force at the time of your booking will normally apply to that booking. Any significant change affecting an existing booking will be communicated directly.

22. Governing law

These terms are governed by the laws of England and Wales.

You may bring legal proceedings in the courts applicable to you under UK consumer law. Nothing in this section restricts your statutory rights.
